To update multiple student records in the DRC INSIGHT Portal, users can use the same process as the Student Import to make changes to editable demographics, then re-import the Student Import File.
Users must have the “Import Management” permission in order to perform student, student and registration, or accommodation imports in the DRC INSIGHT Portal. If you are unable to access Import Management, please contact your School or District Point of Contact (POC)
Overview
The functionality to export and import student information allows a user to export student records, edit the records using Microsoft Excel (or a similar program), and upload the edited records. This is particularly helpful if a user needs to update demographics for a group of students.
For more information, see Importing Students.
To export students from Student Management for updating and reimporting, see Exporting Student Records.
The Export Students process is available for the duration of an academic session. Users can begin exporting student records as soon as they are available in DRC INSIGHT Portal and can continue the export process even after reporting has started.
Matching Student Records
Student records are matched using Student ID, Last Name, and Date of Birth. Because these fields are used to identify and validate student records, the Student ID, Last Name, and Date of Birth fields cannot be updated through the Student Import process. To change any of these values for an existing student, update them manually within the DRC INSIGHT Portal (see Editing a Student).
- If a matching record is found, all other data provided in the student import file (including updates) is applied to the existing student record in the DRC INSIGHT Portal.
Note:Blank values are considered valid values on imports. If you are re-importing existing student records, any field left blank in the import file will overwrite existing values and update that field to blank. To preserve existing information, first export the student records from Student Management, update only the necessary fields, and then re-import the file. - If no match is found based on these criteria, a new student record is created using the data supplied in the import file.
