Transferring Students

If your student search returns matching results across your program sites, review the results to determine whether the student you are looking to create already exists at another site. If the correct student is found and identifying information is confirmed, users with the “Participant – Transfer Request” permission can request that the student be moved to their school or district instead of creating a new record. Users with the “Participant – Transfer Approve” permission can then review and subsequently approve or deny the transfer request from the DRC INSIGHT Portal.

If you are unable to use the Request Transfer button from the Enroll Student Search in Student Management, please contact your School or District Point of Contact (POC).

Request a Student Transfer

To request a transfer for a student from another school within your district or program, follow these steps.

  1. Select Student Management from the DRC INSIGHT Portal My Applications menu bar.
  2. Select your district and school from the Select-a-Site drop-down menu, then select Save
    Note: A school must be selected in order to request a student transfer.
  3. Confirm the correct Academic Session is selected in the Academic Session drop-down.
    Note: This will default to the current academic year.
  4. Select the appropriate Testing Program (LAS Links or PreLAS Online) in the Testing Program filter.
  5. Select Enroll Student.
  6. The system displays the Student Search This search checks the existing database to prevent duplicating student records.
  7. Enter the exact First Name, Last Name, Student ID and Date of Birth for the student you are looking to transfer.
  8. If an exact match is found at another site, review the Student Details and once confirmed, select Request Transfer.
  9. Confirm the Transfer Request when the confirmation window appears. A green success banner will display letting you know the request was submitted.
  10. The request will automatically be sent to your district Point of Contact (POC) for approval.

Note: Transferred students whose assessments are in “Not Started” status will automatically be removed from current registrations at the sending school. The receiving school will be responsible for re-registering the student for the assessments to be administered. Assessments in “Completed” status will transfer with the student record. “In Progress” assessments will remain with the sending school. Students who have a registration status of “Processing” cannot be transferred until the status is updated to “Not Started”.

Approve a Student Transfer

To review and approve a student transfer request, users must have access to the sending and receiving site and have the “Participant – Transfer Approve” permission.

  1. Select Student Management from the DRC INSIGHT Portal My Applications menu bar.
  2. Select your district and school from the Select-a-Site drop-down menu, then select Save.Note: Select ALL SCHOOLS to view transfer request activity for the all sites within the selected district, or ALL DISTRICTS to view transfer request activity for all districts and schools (if applicable)
  3. Confirm the correct academic session is selected in the Academic Session drop down menu.Note: This will default to the current year.
  4. Select Transfer Report and Actions from the left sidebar menu.
  5. All student transfer activity for your site displays. The table includes the following columns:
    • Student Name
    • Actions (Approve or Deny Request)
    • Type
    • Status
    • Student ID
    • Date of Birth
    • Grade
    • From Location
    • To Location
    • Status Updated (Date of last action performed on this request)
  6. Find the transfer request marked pending in the status column. Use the filters to refine the list if needed
  7. Review the student details on screen to confirm the transfer is appropriate.
  8. In the Actions column, choose one of the following:
    • To Approve, Select the checkmark ().
      • Select Approve when the Confirmation to Approve Transfer screen appears. You may also include a short comment or note for approval.
    • To Deny, select the X.
      • Select Deny when the Confirmation to Deny Transfer screen appears. You may also include a short comment or note for the denial.
