Import Management offers comprehensive error reporting to aid in the swift correction of validation errors and improve success of all file imports.
Once you have imported your file, you may see a red Validation Errors banner appear in the status column of the import. This means that there is something within your file that requires correction. If an imported file contains errors, all valid records within the file will be imported. Records with errors will be rejected and must be corrected and re-imported.
Select the import job title to open the Import Details page. Here you will see three buttons at the top of the page: Download Error Report, Download Original Import, and Done. Selecting done will exit Import Details and bring you back to Import Management.
- Download Error Report: Generates a .csv file containing each of the errors encountered in the error report.
- Download Original Import: Downloads the original import file. You can download the original, make corrections, and start a new import to resolve the issue.
There are four tabs from within the Import Details page. Import Progress, Resource Summary, Error Summary, and Error Detail.
Import Progress Tab
The Import Progress tab provides the progress and status of the validation steps throughout the import process. Once each step is successful, the status will be updated to Completed. The import will be fully processed once all steps have reached a completed status.
Note: Even if the import receives a Completed status on all steps, the import may still have errors. Review the Resource Summary tab to ensure the import did not receive any errors that need to be rectified.
Resource Summary Tab
The Resource Summary tab displays an overview of the import results.
- Resource: Student, Registration, or Accommodation
- Student: Refers to how many student records were in the file for import.
- Registration: Refers to how many registrations were in the file for import.
- Accommodation: Refers to how many student accommodations were in the file for import.
- Total Records: The total number of records (Students, Students and Registrations, or Student Accommodations) contained in the original import.
- Passed: Represents the number of records successfully imported from the file.
- Failed: Represents the number of records that could not be imported due to errors in the import file.
- Unique Errors: Provides the number of different types of errors encountered in the file for each resource.
- Total Errors: The total number of errors in the file.
Error Summary Tab
- Resource: Indicates which component of the import failed, Participant, Registration, or Accommodation.
- Category: Indicates which inspection failed during the import process. For example, Invalid Value indicates that the value entered does not meet the requirements in the Student Import File Layout for that field.
- Error: The specific error encountered in the import of that resource. There may be multiple listed here for both resources.
- Count: Provides the number of times the error was found within the import.
Error Detail Tab
This tab provides the same Resource and Category values as the Summary Tab but also includes the Sequence and the Source. This is helpful for locating the error within your import file.
- Sequence: The row in the file that encountered this error.
Note: Sequence #1 corresponds to the header row, and Sequence #2 corresponds to the first row of student data.
- Source: The line of comma delimited values from the record that failed.
Correcting and Re-Importing an Import File
Review and correct all validation errors identified in the error report, then save the updated file as a .csv and start a new import. If you no longer have the file that was originally imported, Import Management retains historical import job information. Open the import job and select Download Original Import to retrieve the file and make your corrections.
If the file contains existing students in the DRC INSIGHT Portal, take care to preserve any values that should remain unchanged. Blank values are considered valid values during import, and any field left blank for an existing student record will overwrite the current value and update that field to blank. If you need to review the current values before making updates, you can export the student records from Student Management, apply your corrections, and then re-import the updated file.

Note: Make sure you retain any leading zeros in your file before re-importing.
