Users with the Participant – Transfer Request permission can search and request a participant to be transferred to their site.
Users with the Participant – Transfer Approve permission can review and approve or deny transfer requests.
Users with the Participant – Transfer permission can search and transfer participant from one school to another school within their district. The status of all transfer requests can be monitored from the Transfer Reports and Actions page. This page is accessible through the navigation on the left-hand side of the Participant Management home page.
Request a Transfer (Non-Choice/Private Pay Students)
To request a transfer of a student from another school (pull) within the district or district-to-district, perform the following steps:
- From the My Applications menu, click Participant Management.
- Click Select a Site … and select your school by searching for your school’s name or code. Click Save.
- Confirm the correct Academic Session is selected in the Academic Session drop-down.
- Note: This will default to the current year.
- Click on Enroll Participant when the button becomes active.
- On the Participant Search screen, enter the required search criteria to see if a record for the student already exists.
- Note: Student details must match on the student’s WISEID or 2 of the 3 fields: First Name, Last Name, Date of Birth.
- If a match is found, request the student record be transferred from the current site by clicking the Request Transfer button.
- Confirm the request by clicking Transfer in the dialog box.
- Monitor the Transfer Report and Actions page located on the left panel to see when a transfer request status indicates Completed. Once the transfer has been completed, the receiving site must manually register the student.
Approve a Transfer Request (Public and Non-Choice/Private Pay Students)
- For district-to-district transfer requests, perform the following approval steps.
Users with the Participant – Transfer Approve permission at the sending site will see transfer request notifications upon logging into the DRC INSIGHT Portal, under the Notifications section (alarm icon).
- Click on the notification link to be redirected to the Transfer Report and Actions page. This page is also accessible through the navigation on the left-hand side of the Participant Management home page.
- Transfer requests requiring review will show Pending in the Status column. Use the available filters to display the Pending requests.
- To approve a transfer, click the Approve button (blue checkmark).
- To deny a transfer, click the Deny button (blue X).
- Confirm your action in the dialog box. You will also need to remove the student from your SIS to prevent them from getting added back to your district.
School-to-School Transfers within your District (Non-Choice/Private Pay Students)
To transfer a student from one school to another school (push) within your district, perform the following steps:
- From the My Applications menu, click Participant Management.
- Click Select a Site … and select your school by searching for your school’s name or code. Click Save.
- Confirm the correct Academic Session is selected in the Academic Session drop-down.
- Note: This will default to the current year.
- Select the participant(s) you wish to transfer from the list that populates. You can use the filters to narrow your selection.
- Click the Transfer Participants tab.
- Confirm the correct participant(s) are listed for the student transfer.
- Select the receiving school for the student transfer by choosing the appropriate option from the ‘Transfer To’ drop-down menu.
- Carefully read the message displayed on the screen. When you are ready to confirm the transfer, click Transfer.
Notes:
- Records with a Not Started registration status will be automatically removed from current registrations. The receiving school will be responsible for re-registering the participant for the assessments to be administered.
- Records with an In Progress registration status remain with the sending school. Students will be reported at the receiving site as long that’s where the last exam was completed; test history details will be available for receiving site within the Assessments tab.
- Records with a Completed status remain at the sending school. Students will be reported at the receiving site as long that’s where the last exam was completed; test history details will be available for receiving site within the Assessments tab.
