Please review the Alaska Science Assessment Transfer Scenarios in Appendix A of the Test Coordinator’s Manual for the detailed processes of all transfer scenarios.
There are two permissions within Participant Management that aid in the transfer process: Participant – Transfer and Participant – Transfer Request.
- Participant – Transfer: Allows a DTC to push school-to-school transfers within a district.
- Participant – Transfer Request: Allows a DTC to search for and request a participant record be transferred. The search will be across all districts and schools, regardless of user site affiliation.

School-to-School in the Same District: Option 1 (Use PRI Import)
- Create a PRI file containing the participant’s receiving school code and other demographic and accommodation information.
- Select Import Management from the My Applications menu bar.
- Click Select a Site … and select the district and school by searching for the name or code. Click Save.
- Note: ALL SCHOOLS can be selected, instead of selecting a particular school, to import a file.
- Click Start New Import.
- Provide a title for the import job, select Participants and Registrations as the Import Type, select the current Registration Window, and attach or drag/drop the PRI file.
- Click Start Import.
School-to-School in the Same District: Option 2 (Locate Participant Record and Transfer)
- Select Participant Management from the My Applications menu bar.
- Click Select a Site … and select your school by searching for the sending school’s name or code. Click Save.
- Use the checkboxes to select the participant you wish to transfer. You can use the filters to narrow your selection.
- After you have selected your participant(s), click the Transfer Participants button.
- Confirm the correct participant(s) are listed for the participant transfer.
- Select the receiving school for the participant transfer by choosing the appropriate option from the School drop-down menu.
- Carefully read the message displayed on the screen. When you are ready to confirm the transfer, click Transfer.
School-to-School in the Same District: Option 3 (Search from Receiving School and Enroll)
- Select Participant Management from the My Applications menu bar.
- Click Select a Site … and select your school by searching for the receiving school’s name or code. Click Save.
- Select the Enroll Participant button.
- A pop-up window will open. Enter the participant’s first name, last name, AKSID, and date of birth in Participant Search.
- When the desired participant record displays, select Request Transfer.
- Note: this option can only be used to transfer participants one at a time.
- A confirmation window will open. Click Transfer within the confirmation pop-up.
District-to-District: Option 1 (DTC Conducts Transfer)
- Select Participant Management from the My Applications menu bar.
- Click Select a Site … and select your school by searching for the receiving school’s name or code. Click Save.
- Select the Enroll Participant button.
- A pop-up window will open. Enter the participant’s first name, last name, AKSID, and date of birth in Participant Search.
- When the desired participant record displays, select Request Transfer.
- Note: this option can only be used to transfer participants one at a time.
- A confirmation window will open. Click Transfer within the confirmation pop-up.
District-to-District: Option 2 (DTC Contacts DRC to Conduct Transfer)
- Contact DRC Customer Service at AKHelpdesk@datarecognitioncorp.com or 1-866-339-6390.
- Provide the following information about the participant: AKSID, first name, last name, grade level, date of birth, new district code, and new school code.
- DRC will move the participant from the old school/district to the new school/district. DRC will also remove the participant from any registration at the previous school/district.
- At some point before testing, the DTC should put the participant into a registration at the new school either manually or by using the Participant and Registration Import (PRI).
Notes:
- If the status is Not Started, the participant will be automatically removed from current registrations at the sending school. The receiving school should add the participant to a registration to take the assessment.
- Contact DRC Customer Service or DEED for next steps on participants with In Progress status.
- If the status is Completed, the participant records will transfer to the receiving site. The participant will also be reported at the receiving site. The complete test will remain in its original registration at the sending school.
