Transferring Students

District and state users in WIDA AMS with the “Participant – Transfer” permission for WIDA ACCESS and WIDA Screener Online can transfer students within a district using the Student Transfer feature in Student Management. If you are unable to use the Transfer Students button in Student Management, please contact your District Test Coordinator.

If you need to transfer a student out of your district during or after testing, you cannot use the transfer feature in Student Management. Select Transfers/Validation from the WIDA AMS My Applications menu and then select Student Transfer Form to transfer a student to another district during or after testing.

To transfer a student to another school within the district for WIDA ACCESS and WIDA Screener Online, perform the following steps.

  1. Select Student Management from the WIDA AMS My Applications menu bar.
  2. Confirm the correct Academic Session is selected in the Academic Session drop-down.
    • Note: This will default to the current year.
  3. Select Select a Site … and select your school by searching for the sending school’s name or code. Select Save.
  4. Select the appropriate Testing Program in the Testing Program filter.
  5. Use the checkboxes to select the student you wish to transfer. You can use filters to narrow your selection.
  6. Once you have selected your student(s), select the Transfer Students button.
  7. Confirm the correct student(s) are listed for the student transfer.
  8. Select the receiving school for the student transfer by choosing the appropriate option from the ‘Transfer To’ drop-down menu.
  9. Carefully read the message displayed on the screen. When you are ready to confirm the transfer, select Transfer.

Note: Transferred students whose assessments are in “Not Started” status will automatically be removed from current registrations at the sending school. The receiving school will be responsible for re-registering the student for the assessments to be administered. Assessments in “Completed” status will transfer with the student record. “In Progress” assessments will remain with the sending school. Students who have a registration status of “Processing” cannot be transferred until the status is updated to “Not Started”.
