To update multiple participant records, users can export participants in the same file layout as the Participants and Registrations Import. Then they can make edits to participant records, and re-import as a Participants and Registrations Import File. Users must have the “Participant – Download” permission to export participants records from Participant Management and the Import Management permission to import/update in Import Management.
Overview
The functionality to export and import participant information allows a user to export all participant records for a district, edit the records using Microsoft Excel (or a similar program), and upload the edited records.
To export participants from Participant Management, see Exporting Participant Records. The Export Participants process is available for the duration of an administration.
To import Accommodations, Participants and Registrations, or Rosters, see Import Management.
Matching Participant Records
When a Participants and Registrations File is imported, the participant records in the file are compared to all existing participant data within the same academic session:
- Primary matching field: GTID
- Intelligent Match of two of the following secondary matching fields:
- Student First Name
- Student Last Name
- Student DOB
If Participant Management shows an exact match within the district/school, the record will be updated and the participant will proceed through the auto-registration process, if applicable.
Note: If the GTID is found outside of the district/school, the record will error upon import.
If match is not found, a new record will be created in Participant Management and the participant will also proceed through the auto-registration process.
