Import Accommodations

Users can access data for all Missouri Testing Programs.

Before you begin

  • All imports are program agnostic.
  • Imported Accommodations must use a CSV roster file layout that can be read by the portal. To access the CSV roster sample file and information to help you complete it, see Accommodations Import Layout Instructions.
  • DRC recommends importing accommodations before importing participants or registrations.
  • Accommodations assigned to a student persist through the academic session (school year) unless updated.
  • Always verify accommodations prior to printing and distributing test tickets.
  • To remove all Accommodations for a student, upload the student with no accommodations.

When the CSV files are complete, follow these steps

To import an Accommodation file, do the following:

  1. Click  Select a Site … and enter the name or code of the school or district to which you want to import.
  2. On the Import Management page, click the Start New  Import button and the New Import window displays.
  3. Complete the fields as follows:
    • Import Job Title: Enter a recognizable name.
      • Select Import Type: Select Accommodations.
      • Import Action:
        • Update/Replace Accommodations: Select to update or replace an accommodation
        • Append Accommodations: Select to append accommodations
    • Click Browse to navigate to the files on your system or you can drag and drop the files into the drag and drop area of the window.
  4. Click the Start Import button to import the files into Import Management. The import job displays in the Import Management grid. While the job is being processed, the status for the job is In Progress.
  5. When the import job completes, it will be in COMPLETED status or  VALIDATION ERRORS status.
      • If the job is in VALIDATION ERRORS status, click the job to display the error report. Update your CSV file to fix all of the errors shown in the error report.
        Once you have corrected the errors in the CSV file, restart the import process (return to Step 2).
      • If the job is in COMPLETED status, click the job to display the Details report.

Accommodations Import Layout Instructions

This topic shows you how to complete the CSV Accommodations Import file layout. First, download the sample extract file and save it to your system.

Note: The file downloads as an .xlsx file. You must save it as a CSV file after downloading it (See Save the Excel File as a CSV File).

Use the table and rules listed below to help ensure the Participants and Registrations Import file is completed correctly and will upload.

Note: Your Participants and Registrations file imports as is, so it is important to follow the rules listed below and to verify student identifier fields to avoid errors or having to reload the file.

When the CSV is completed and saves to your system, you can import the Accommodations Import file into the portal (see Importing Accommodations above).

Entering Accommodations Rules:

  • All accommodations for a student are entered in a single field, separated by a pipe (|).
  • Refer to the list of available accommodations in the table below.
  • If Paper Based Assessment accommodation is listed for a student, then do not list: Non-Accommodation Paper Based Assessment, Braille, Large Print, Sign Language, Read Aloud (Text-to-Speech), Read Aloud (Assistive Technology) for the same student.
  • If Braille accommodation is listed for a student, then do not list: Paper Based Assessment, Non-Accommodation Paper Based Assessment, Large Print, Sign Language, Read Aloud (Text-to-Speech), Read Aloud (Assistive Technology) for the same student.
  • If Large Print accommodation is listed for a student, then do not list: Paper Based Assessment, Non-Accommodation Paper Based Assessment, Braille, Sign Language, Read Aloud (Text-to-Speech), Read Aloud (Assistive Technology) for the same student.
  • If Non-Accommodation Paper Based Assessment is listed for a student, then do not list: Paper Based Assessment, Braille, Large Print, Sign Language, Read Aloud (Text-to-Speech), Read Aloud (Assistive Technology) for the same student.
  • If Read Aloud (Text-to-Speech Not Including ELA Reading Passages) accommodation is listed for a student, then do not list: Paper Based Assessment, Non-Accommodation Paper Based Assessment, Braille, Large Print, Sign Language, Read Aloud (Text-to-Speech Including Reading Passages), Read Aloud (Assistive Technology) for the same student.
  • If Read Aloud (Text-to-Speech Including ELA Reading Passages) accommodation is listed for a student, then do not list: Paper Based Assessment, Non-Accommodation Paper Based Assessment, Braille, Large Print, Sign Language, Read Aloud (Text-to-Speech Not Including Reading Passages), Read Aloud (Assistive Technology) for the same student.
  • If Read Aloud (Assistive Technology Not Including Reading Passage) accommodation is listed for a student, then do not list: Paper Based Assessment, Non-Accommodation Paper Based Assessment, Braille, Large Print, Sign Language, Read Aloud (Text-to-Speech Including Reading Passage) for the same student.
  • If Read Aloud (Assistive Technology Including Reading Passage) accommodation is listed for a student, then do not list: Paper Based Assessment, Non-Accommodation Paper Based Assessment, Braille, Large Print, Sign Language, Read Aloud (Text-to-Speech Not Including Reading Passage) for the same student.

Save the Excel file as a CSV file

Open file in Excel.

On the menu bar, click File, then Save As… The Save As dialog box displays. The line at the bottom of the dialog reads: Save as type:

  1. Click on the down arrow to the right of the line to open a drop-down menu.
  2. Scroll down and select CSV (Comma delimited) (*.csv).
  3. Click Save.
